Follow the steps below to ensure future bookings and guest information are available on day one.

  1. Set an import timeline with your Implementation Specialist. Prior to your Go Live date, pull or request past and future reservations  and guest data from your current booking platform (see sections below for instructions).

Provide data to your Implementation Specialist 24 hours before your scheduled import.

Note:  Imports will be rescheduled if your import data is not received in a timely manner. Files larger than 4 MB may result in delays when completing the import.
  1. Tock’s Imports Team will transfer your data into your new Tock dashboard so it will be ready for your launch.
  2. Review the data transfer to ensure everything matches your previous booking system. 
    • Add any new reservations into your Tock Dashboard that were not included in the original data files.

From OpenTable

To pull reservation and guest data:

  1. Go to http://guestcenter.opentable.ie/login and login.
  2. From the Admin section, go to Reporting then Reservations.
  3. Click the Visit Date dropdown. 
    • Use the arrows to navigate to and select your desired date in the past.
    • Then, use the arrows to navigate to the future and select the date of your last existing reservation in OpenTable. 
  4. Click the Details dropdown.
    • Check Select All then Apply
  5. Select Export.

You’ll receive an email with a link to download the file. Please download and email to your Implementation Specialist.

 

On launch day, take the following steps:

  1. Navigate to “Availability Planning” and “Settings and Rules”.
  2. Toggle off "Do you accept online reservations?" under the Online Reservations section.
  3. Toggle off "Do you accept online waitlist parties" under the Online Waitlist section.
  4. Toggle off “Accept online waitlist parties” if applicable.
  5. Publish updates.

From Yelp

To pull reservation and guest data:

  1. Contact Yelp to request your guest and reservation data.
  1. Once received, check the reservation file to ensure times are correct (Please refrain from modifying the file!).
    • Yelp will sometimes provide a file in the wrong time zone. 
    • When closing the file, select Don’t Save when prompted to save changes. 
      • This safeguards data quality and prevents making unintended changes to the file.
    • If incorrect data was sent, request corrected data from Yelp before sending it over to our team.
  2. Email the files to your Implementation Specialist.
Note: Yelp gives guests the option to not share their contact information. As a result, some reservations in the files they provide will contain the date, time, and total number of guests but not the guest’s contact information. Tock will label these as “Yelp Import” in your dashboard. Before you go live, we recommend taking a screenshot or printing your future reservations so you can fill in the details of any redacted reservations.

 

On launch day, disable online reservations on Yelp.

From Resy

To pull reservation and guest data:

  1. Contact Resy to request your guest and reservation data.
  2. The data Resy sends will be encrypted, you must decrypt the data for it to be usable by our team:
    • Click into the files they sent.
      • Select Open in Browser.
    • Enter the email address you use for your Resy account. 
      • A security code to be sent via email. Enter the code and select proceed
    • An in-browser version of Excel with a pop-up labeled Choose CSV options will open.
      • Select Unicode (UTF-8) for encoding, Comma for delimiter and the file will open.
    • Select all by clicking the half-shaded square button in the upper-left corner of the data.
      • Click Format and select auto-fit column width.
      • Right-click and copy.
    • Create a new sheet in either Excel or Google Sheets. 
      • Highlight Cell A1 by clicking the upper-left-most cell.
      • Right-click and paste.
      • Save the document as “Business Name Reservations” or “Business Name Guestbook.”
  3. Email the files to your Implementation Specialist.

 

On launch day, disable online reservations on Resy.

From Other Systems

To pull reservation and guest data:

  1. Contact your previous system to request your guest and reservation data, using the following template:

Please send a download of all our guest data AND all our past and future reservations, including cancellations and no-shows. Include:

  • Guest File in .csv format
    • first names, last names, phone numbers, and emails
    • guest notes, tags, and any additional guest visit information
  • Reservation File in .csv format
    • first names, last names, phone numbers, and emails
    • dates, times, party sizes, table numbers
    • reservation notes and tags, including notes the guests entered themselves
  1. Email the files to your Implementation Specialist.

On launch day, disable online reservations on your previous system.
