Table optimizations automatically adjust table availability as service approaches. Use table optimizations to release blocked or in-house-only tables for online booking, add or remove Experiences, or adjust the minimum party size at a set time before service.
Types of Table Optimizations
There are 3 types of table optimizations:
- Experiences: Add or remove an Experience from selected tables at a set amount of time before service.
- Table sizing: Change the minimum party size for selected tables at a set amount of time before service.
- Online availability: Automatically release blocked or in-house-only tables for online booking a set amount of time before service.
Accessing Table Optimizations
To access Table Optimizations:
- From the Control Panel tab, click Availability Planning.
- Click Edit for the schedule you’d like to edit.
- Click the Services tab, then select the service you want to optimize tables for.
- Open Table Availability for the service.
- From the Floor plan or Advanced grid view, click Optimizations in the upper-right corner.
The panel organizes optimizations by timing, such as 3 days before service or 24 hours before service.
Creating an Optimization
To create an optimization:
- From the Optimizations panel, click “Create new optimization.”
- Select the optimization type: Experiences, Table sizing, Online availability.
- Select the tables to optimize. Tables can be selected directly on the Floor plan or Advanced grid, or from the Tables dropdown.
- Select the Time prior to the start of service when the optimization should apply.
- Configure what the optimization should do.
- Click Save.
- When all changes for the Service are complete, publish the Schedule.
Editing or Deleting Table Optimizations
Existing table optimizations can be edited or deleted from the Optimizations panel.
To edit an optimization, click the pencil icon next to the optimization rule. To delete an optimization, click the trash can icon next to the optimization rule.
Reviewing Table Optimizations in Advanced Grid
After creating table optimizations, review them in the Advanced grid.
To review table optimizations:
- Click the Advanced grid tab.
- Open the Optimizations panel.
- Click Starting schedule to review availability before any optimizations take effect.
- Click each timing group to review the Floor plan or Advanced grid once the optimization is applied.
Optimized Tables on Timeline
On the Timeline, tables with this setting configured will be outlined in blue.
Important considerations
• Table optimizations affect availability only for future bookings. They do not affect existing bookings.
• Table optimizations are configured per table and per service.
• If an All Day Service should only be optimized for certain hours, create separate Services for the different day parts, such as lunch and dinner.
• If a Service spans multiple days but should only be optimized for certain days, create separate Services for the different day groups, such as Monday-Thursday and Friday-Sunday.
• Optimizations carry over when duplicating a Schedule or Special Day, or when creating a new Service using copied settings..
• If an Experience is removed from a table through an optimization rule, guests may not be able to rebook that Experience after modifying or canceling their reservation. Guests should contact the business directly for assistance.
FAQ
Do table optimizations change existing bookings?
No. Table optimizations only change availability for future bookings. Existing bookings are not changed.
Where can I see configured table optimizations?
Open the Optimizations panel while editing Table availability for a Service. Existing optimizations are grouped by timing.
Can I apply optimizations to only part of a Service?
Optimizations apply to the selected tables within the Service. If only certain hours should be optimized, create separate Services for those hours.
Why can’t I select a table for an Online availability optimization?
Only tables that are offered in-house only, or set to Block table, are eligible for table optimizations.
Why can't I select a table for a Table sizing optimization?
Tables must have a minimum table size greater than 1 to use Table sizing optimization.
Why can't I select an Experience for an Experiences optimization?
When multiple tables are selected, only experiences shared by all selected tables can be optimized together. Create separate optimizations if different tables need different experience rules.
Will optimized availability appear on the guest booking page?
Yes. Guest booking availability updates after the selected optimization timing is reached.
