Note: This feature is available using Availability Planning reservation management.
Generally, Tock will prevent you from overbooking a table, but if you need to, follow the steps in this guide.
Using the overbooking toggle via the blue Book Reservation button
To overbook a table via the blue Book reservation button:
- From the Reservations tab, click Timeline or Service, then click the blue Book reservation button in the top-right.
- Select the date and party size you’d like to book.
- Switch the Overbooking toggle on to view more bookable slots, which will appear in red. The Overbooking toggle will only appear if there are no available tables to accommodate the booking in progress. Overbookings made via the Book reservation button will appear in the Unassigned reservations section. Drag and drop these bookings to tables as needed. Overbookings in the Unassigned reservations section that aren't manually assigned to a table within 24 hours will be automatically assigned to a table where possible.
- From the right-side panel, select the time and experience.
- Complete the booking as outlined here.
Overbooking a table directly on Timeline
There are two ways to overbook a table directly on Timeline: clicking on an available tile or clicking directly on the table number.
Clicking on an available tile
To overbook on an available tile:
- From the Reservations tab, click Timeline. Use the date picker to go to the desired date.
- Click directly on the available tile for the time and table you’d like to overbook.
- Click Book a reservation or Book on multiple tables.
- If you click Book on multiple tables, click all of the available tiles for the tables where the party will be assigned, then click the Book reservation button in the top-right corner.
- Click the pencil icon in the top-right corner to increase the party size as needed. Booking a reservation on a table with a capacity less than the party size will cause an overbooking warning to appear:
- Click Continue to confirm overbooking.
- Complete the booking as outlined here.
Clicking on the table number
To overbook on a table number:
- From the Reservations tab, click Timeline. Use the date picker to go to the desired date.
- Click directly on the table number for the table you’d like to overbook.
- Click Book a reservation.
- Select the date and party size you’d like to book.
- From the right-side panel, select the time and experience.
- Switch the Overbooking toggle on to view more bookable slots which will appear in red. The Overbooking toggle will only appear if there are no available tables to accommodate the booking in progress. Overbookings made from clicking directly on the table number on Timeline will be auto-assigned to that table.
- Complete the booking as outlined here.
Requiring a passcode for overbookings
Passcodes prevent users assigned to the Host role from taking certain actions without manager approval. To approve a restricted action, a manager must enter a passcode.
To require a passcode for overbookings:
- From the Control Panel tab, click the Team.
- Switch on the toggle in the top-right to enable passcodes, then click Configure restricted actions.
- Switch on the toggle for Overbooking on a table and booking on a blocked time.
- After this is enabled, users with the Host role will need passcode approval to overbook a table.
